Privacy Policy
Last updated: October 14, 2026 · Effective: August 23, 2026
This policy explains what GlowCoach collects, why, who we share it with, how long we keep it, and what you can ask us to do with it. There is a section for clients and a section for professionals — read the one that fits you, or both if you’re both. The sections at the end apply to everyone. GlowCoach is operated by GlowCoach LLC, a Georgia limited liability company, located in Atlanta, Georgia.
If you’re a client
What we collect
- Account details — your name and email address, collected when you create an account through our sign-in provider, Clerk, plus when you signed up and when you last signed in.
- Booking information — the sessions you book and with which professional, their dates, times and prices, what happened to them (completed, cancelled, rescheduled or missed), the video-call link your professional provides, and which version of our booking policy you agreed to at checkout, and when.
- Payment information — processed by Stripe, which collects and stores your card details directly. GlowCoach never sees or stores your full card number. We keep Stripe’s reference to you and to your saved card, plus amounts, dates and payment status.
- Messages — what you and your professional write to each other through GlowCoach.
- Reviews — the star rating and review you leave for a professional.
- Refund requests — what you tell us in a refund request, and the professional’s response to it.
Why we use it
- To create and secure your account.
- To schedule your sessions, take your deposit and your balance after the session, process refunds, and send you booking confirmations, reminders and cancellation notices.
- To let you message your professional and leave reviews.
- To handle refund requests, disputes, chargebacks and fraud, and to meet our legal and tax obligations.
Who we share it with
- The professional you book — your name, email address, booking details and the messages you send them, so the session can take place.
- Anyone viewing a professional’s profile — your reviews, shown with your first name and last initial.
- Our service providers — Stripe (payments), Clerk (accounts and sign-in), Brevo (the emails we send you), Render and Neon (hosting our servers and database), Netlify (hosting our website), and Google and Meta (analytics and ad measurement — see Cookies, analytics and advertising).
- The video service for your session — sessions take place on the video service your professional links to (for example, Zoom or Google Meet), and that service’s own privacy policy applies. GlowCoach does not host, record or receive the audio or video of sessions.
How long we keep it
We keep your account, bookings, payment records, messages, reviews and refund requests for as long as your account is open, and for 24 months after you close it, so we can handle refunds, disputes, chargebacks and tax records.
If you’re a professional
What we collect
- Account details — your name and email address, collected through our sign-in provider, Clerk, plus when you signed up and when you last signed in.
- Your profile — your name, professional title, profession, biography, years of experience, specialties, certifications, prices, profile photo and work-sample photos, and your availability, time zone and time off.
- Your credentials — license type, license number, issuing state and expiration date; certificate name, issuing organization and number; the photos or PDFs of licenses and certificates you upload; and whether we verified them.
- Payouts — Stripe Connect collects your identity and bank details directly so it can pay you. We keep your Stripe account reference and status, your earnings and wallet history, and payout records, including your bank’s name and the last four digits of the account.
- Bookings and clients — the sessions booked with you, their payment and outcome, the video-call links you add, and your messages with clients.
- Reviews and refund requests — reviews clients leave about you, and your account of a session when a client requests a refund.
- Master Classes — if you are invited to teach, your instructor profile, teaching hours and classes; if you book a class, the same booking, payment and message information we keep for clients.
- Waitlist — if you join a waitlist for a category that is full, your email address and which list you joined.
Why we use it
- To build your public profile and list you in our directory under the right categories.
- To review and verify your credentials.
- To schedule your sessions, pay you through Stripe, recover approved refunds from future earnings, and keep financial and tax records.
- To handle refund requests, reviews and complaints, and to remove profiles that break our terms.
Who we share it with
- The public — your profile is visible to anyone: your name, title, photo and work samples, biography, specialties, prices, availability, the type and issuing state of your licenses and whether we verified them, and client reviews. We never show your license or certificate numbers, your uploaded credential files, your email address or your payout details.
- Clients who book you — your name, your profile, the video-call link you provide, and the messages you send them.
- Our service providers — Stripe (Stripe Connect payouts), Clerk (accounts and sign-in), Brevo (the emails we send you), Cloudflare (stores your photos and credential files), Render and Neon (hosting our servers and database), Netlify (hosting our website), and Google and Meta (analytics and ad measurement — see Cookies, analytics and advertising).
How long we keep it
We keep your profile, credentials, bookings, messages and reviews for as long as your account is open, and for 24 months after you close it, so we can handle refunds, disputes, chargebacks and tax records. Earnings, payout and payment records may be kept longer where tax or financial law requires. Waitlist entries are kept for up to 24 months, or until you ask us to delete them, whichever comes first.
For everyone
Signing in
Clerk runs our sign-in on our behalf. It handles your email address and password (GlowCoach never sees your password) and records security information such as your IP address, device and browser, approximate location and sign-in times. It also sets the cookies that keep you signed in. Clerk processes this for us, under our instructions, so this policy covers it.
Technical information
Like most websites, our hosting and service providers record standard technical data such as your IP address, device and browser, and your activity on the site, so we can run and secure the service.
Cookies, analytics and advertising
We use essential cookies to keep you signed in and run the platform. We also use Google Analytics to understand how people use GlowCoach, and advertising tools from Google and Meta (Facebook and Instagram) to measure our ads and show GlowCoach ads to people who may be interested. These tools use cookies and similar technologies to collect information such as the pages you view and whether you complete a booking. They do not receive your payment details or the content of your consultations. You can limit ad personalization in your Google and Meta ad settings, or opt out of interest-based advertising at optout.aboutads.info. We do not sell your personal information.
Where your data is stored
Our service providers store and process data in the United States, and some may also process it in other countries.
Security
We use encrypted connections and reputable service providers to protect your information, but no system is completely secure. If you think someone has accessed your account without your permission, email us right away at hello@glowcoach.org.
Your choices
Email us at hello@glowcoach.org and we’ll delete your data, correct it, or tell you exactly what we have on file. (Some records tied to completed payments may be kept where the law requires.) Any marketing email we send includes an unsubscribe option. If you joined our waitlist before September 24, 2026, we may also hold the name, email and role you submitted through Formspree.
Children
GlowCoach isn’t intended for anyone under 18, and we don’t knowingly collect information from minors. If you believe a minor has submitted information, email us and we’ll remove it.
Changes to this policy
We may update this policy from time to time. When we do, we’ll post the updated version on this page and change the “Last updated” date at the top. The updated policy applies from that date. If you keep using GlowCoach after that date, you accept the updated policy.
